01.

Information We Collect

SMT Global collects information that is necessary to respond to enquiries, provide education counselling, assess study options, support applications, and coordinate related student services.

This may include your name, contact details, date of birth, citizenship, academic history, test scores, employment background, financial or sponsorship information, passport and identity details, visa history, preferred destinations, communication records, and documents you choose to upload or share with our team.

Information You Provide

Details submitted through forms, consultations, phone calls, email, messaging channels, application reviews, document checklists, and student support interactions.

Website and Technical Data

Device, browser, IP address, approximate location, page activity, referral source, cookies, analytics events, and security logs collected when you use our digital services.

02.

How We Use Information

We use personal information for clear service, operational, legal, and security purposes. We do not sell personal information or allow unrelated third parties to use student records for their own advertising.

  • Respond to enquiries, schedule consultations, prepare counselling notes, and recommend study destinations, courses, institutions, scholarships, and intake options.

  • Review eligibility, check documents, support applications, prepare submissions, and communicate with universities, colleges, scholarship bodies, accommodation providers, testing partners, and visa or migration-related service providers when needed.

  • Operate, secure, improve, and measure our website, CRM, student workflows, communications, forms, and support channels.

  • Meet legal, accounting, audit, dispute-resolution, fraud-prevention, compliance, and recordkeeping obligations.

03.

When We Share Information

We share information only when it is needed to deliver requested services, comply with law, protect rights and safety, or operate approved business systems.

Recipients may include education institutions, admissions teams, scholarship administrators, English-test providers, document verification providers, visa or immigration-related professionals, payment processors, cloud hosting providers, analytics providers, email and messaging systems, professional advisers, regulators, or law enforcement where legally required.

  • We require service providers to handle information for instructed purposes and to apply reasonable confidentiality and security safeguards.

  • Some partners may be located outside your country. Where international transfer is necessary, we use practical safeguards appropriate to the nature of the information and the receiving party.

  • We do not publish student documents, application records, or private counselling information without consent or another lawful basis.

04.

Consent and Lawful Basis

Depending on the service and applicable privacy law, we process information because you requested our services, gave consent, entered into a service relationship with us, asked us to take steps before entering that relationship, or because processing is necessary for legitimate business, compliance, security, or legal purposes.

You may withdraw optional consent at any time. Withdrawal does not affect processing already completed or processing that remains necessary for legal, contractual, safety, or recordkeeping reasons.

05.

Security and Confidentiality

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, disclosure, or destruction.

Safeguards may include role-based access, staff confidentiality controls, secure document handling, encrypted transmission where supported, access monitoring, backup practices, and review of systems used for student workflows.

No website, email channel, cloud service, or transmission method is completely secure. If we identify a security incident that affects your information, we will assess it and take appropriate action under applicable law and our internal response process.

Verified Infrastructure

Encryption • Access Control • Auditable Handling

06.

Retention of Records

We keep personal information for as long as needed to provide services, maintain application records, answer follow-up questions, meet legal and accounting obligations, resolve disputes, prevent fraud, and document our professional relationship.

Retention periods vary based on the type of record, service status, institution or visa timeline, legal requirements, and operational need. When information is no longer required, we take reasonable steps to delete, anonymize, or securely archive it.

07.

Cookies and Analytics

Our website may use cookies, local storage, pixels, analytics tools, and similar technologies to keep the site functional, remember preferences, measure page performance, understand demand for services, protect forms, and improve user experience.

You can usually control cookies through your browser settings. Blocking some cookies may affect site functionality, form behavior, saved preferences, or analytics accuracy.

08.

Your Privacy Rights

Subject to applicable law and identity verification, you may ask us to help you understand, access, correct, update, delete, restrict, or object to certain processing of your personal information.

Some requests may be limited where information must be retained for legal, compliance, dispute, fraud-prevention, safety, or active service reasons. We will explain the applicable limitation when we respond.

Access

Request a summary or copy of personal information we hold about your enquiry, counselling profile, or active service record.

Correction

Ask us to correct inaccurate or incomplete contact, academic, financial, identity, or application information.

Deletion

Request deletion where continued retention is no longer required for active service, legal, compliance, or legitimate business reasons.

09.

Children and Student Applicants

Our services are generally intended for prospective students and families seeking international education guidance. If an applicant is under the age of majority in their location, a parent, guardian, or authorized sponsor should be involved before personal information, identity documents, financial details, or application materials are submitted.

10.

Policy Updates and Contact
